AGM Meeting Minutes 2004

Minutes of the Third Waikato/Bay of Plenty Branch of the Archives & Records Association of New Zealand (ARANZ) Annual General Meeting held on Tuesday, 27 April, 2004, at 5.50 p.m., in Lecture Theatre 1 at Waiariki Institute of Technology, Rotorua.

Present:  Tiena Jordan (Chairman), Kevin Lyall (Secretary), Mary Ellen Wilson (Treasurer), Jocelyn Hicks, Coral Hair, Daryl Pike

Welcome:

The Chairman welcomed all present to the first "formal" meeting of the Branch since August, 1998.

Letter of Thanks to Honorary Auditor

Election of Officers:

All three current officers indicated their wish to step down.  It was resolved that the current officers should continue until after the 2004 ARANZ Conference.  It will then be decided how to carry on.

General Business:

2004 ARANZ ConferenceThe Chairman informed the Meeting that this would be held from the 19-21 August, 2004, at the Quality Hotel, Fenton Street, Rotorua, and outlined the arrangements for this. The theme of the Conference would be "Maori Archives".

All present indicated their willingness to assist with the planning for this.

There being no further business, the Meeting closed at 6.44 p.m.

Chairman's Report 2004

The Branch has been inactive for a few years. Our last meeting was the AGM held in August 1998. Although the branch committee has not met, the branch has hosted a number of networking meetings. Records Managers, archivist and librarians from throughout the region were invited to attend net-working meetings to give them a chance to meet each other and share ideas and solve problems and hear guest speakers. We met at various institutions and learned a lot from them and each other. These lapsed due to time constraints for organising them. Recently Jean Caveney from Environment Waikato started a networking group unaware of our one. She contacted me and we have combined and have had 2 meetings in the last 6 months.

The branch has also met on a couple of occasions to prepare submissions.

The Branch is hosting the annual ARANZ conference this year in Rotorua on 20-21 August, with pre-conference training workshops the day before. The theme is Maori Archives and Records. Hinerangi Himiona and Rachel Lilburn from Wellington are generously putting together a programme of speakers. Coral Hair and I have been doing the local preparations and members will be called on to help as required. NZ Micrographic Services and Port Nicholson Packaging will have trade stands there. The projected pre-conference workshops will be an electronic records workshop at Rotorua District Council, and a hui on preservation on a marae. The conference dinner on Friday night will be at Tamaki Tours complex. A flyer is going out with the April ARANZ Newsletter.

After the conference, a decision will have to be made on the future of this branch. At this stage all officers wish to resign their positions.
